Confirmation of Application

GENERAL CONDITIONS AND REQUIREMENTS – once sponsorship is confirmed

  • All company representatives must complete a conference registration (for name tag & catering purposes). While some sponsorship packages include complimentary registrations, a registration fee will be charged for any additional staff in attendance.
  • Additional function tickets may be purchased at the nominated rates
  • A completed Sponsorship Application Form must be submitted to initiate sponsorship. A Tax Invoice will be provided upon acceptance of the application.
  • The sponsorship will not be deemed confirmed until the required payment has been paid Trade display sites will not be allocated unless required payment has been made
  • Trade display sites are clear space only (no shell scheme wall) and come with a trestle table cloth and 2 chairs. Power is not included but can be made available by arrangement. Charges may apply.
  • Logo placement on promotional material can only be fulfilled if sponsorship is confirmed prior to the nominated document/item being prepared.
  • Due to privacy constraints a delegate list can be provided but will not contain delegate contact details.
  • A map of the trade hall will be provided a month prior to the Conference for sponsors to select three preferences. Allocations will be made based firstly on sponsorship investment, then by date of confirmation (once payment is received). Placement within the trade display hall is at the discretion of event organisers who may make changes due to logistics, safety reasons or otherwise.
  • It is a requirement that all exhibitors hold their own Public Liability Insurance based on a limit of liability to the value of AUD $20,000,000. A copy of the Certificate of Currency must be provided to the Conference Organiser. This refers to damage or injury caused to third parties/visitors on or in the vicinity of the exhibition. Please also note that the organisers do not accept responsibility for loss or damage to goods bought to the venue by exhibitors.

 

CANCELLATION POLICY – once sponsorship is confirmed

Due to the considerable administration associated with this conference, a cancellation fee equivalent to 25% of the full payment amount will be incurred should confirmed agreements be cancelled by the sponsor more than 90 days out from the first day of the conference.

Cancellations made between 90 days and 31 days from the first day of the conference will pay a cancellation fee equal to 50% of the full payment amount of the confirmed agreement.

Cancellations within 30 days from the start of the conference incur 100% cancellation fee. All requests for cancellations must be made in writing to the Conference Coordinator.
