Summary of Sponsorship Application

Payment Details
Payment is not required with the application. Once accepted you will be sent confirmation details and an invoice. By submitting an application, you are deemed to have read and accepted the terms and conditions below and fully understand that your display booth is a clear space site including walls, fascia name board, lights and power.
Sustainability Policy
CMS supports the principles of sustainable event management. These include the use of sustainable materials and production, recycled paper and fair-trade supply, the banning of bottled water, control of waste management, energy efficiency and monitoring, amongst a range of initiatives. We ask you to support our sustainability efforts in your conference planning.

Terms and Conditions
• The details in this document are correct at the time of printing. Carbon Management Services does not accept responsibility for any changes that may occur.
• All display space described is a 3 x 2 metre ‘booth’ with walls, fascia name board, lights and power. A trestle table, cloth and 2 chairs are also included.
• Additional furniture may be hired at the exhibitor’s own expense.
• A delegate contact list will not be provided as part of any sponsorship package. It is the responsibility of the exhibitor to attract delegates to their stand for the purpose of collecting delegate contact details (with the delegates consent).
• Placement and size of logos included in the conference material will be at the discretion of the organisers and will reflect the level of support given by your organisation. Any signage will be designed to suit the requirements of the venue.
• The organisers requests that each sponsor who is provided with a hyperlink from the conference website, respond with a reciprocal link from your organisation’s website to the conference website.
• All company representatives must complete a conference registration form (for name tag and catering purposes).
• All company representatives attending and participating in the conference must register and pay the nominated ‘sponsor’ registration fee. Some packages include sponsor registrations in which case this fee is not payable, however a completed registration form is still required.
• Sponsor registrations include a nametag, day catering (M/T Lunch and A/T) during conference hours and inclusive evening functions.
• A completed sponsorship application must be submitted online to initiate sponsorship. A tax invoice will be provided upon acceptance of application.
• Placement within the conference trade display area is at the discretion of the organisers who may make changes at any time due to logistics and safety reasons or otherwise.
• Where a force majeure event occurs (e.g. Covid lockdowns), the parties will work together in good faith to agree a mutually agreeable course of action with regard for the delivery of the Services (or the non-delivery of the Services in the case of conference cancellation). If the agreement is terminated as a result of a force majeure event the sponsor is entitled to a full refund of any payments made less an agreed amount deducted for value of services that may have already been received.


Cancellation Policy
Once sponsorship is confirmed:
• Due to the considerable administration associated with this conference, a cancellation fee equivalent to 25% of the full payment amount will be incurred should confirmed agreements be cancelled by the sponsor more than 90 days out from the first day of the conference.
• Cancellations made between 90 days and 31 days from the first day of the conference will pay a cancellation fee equal to 50% of the full payment amount of the confirmed agreement.
• Cancellations within 30 days from the start of the conference incur 100% cancellation fee.
• All requests for cancellations must be made in writing to Louisa Kiely or Bradley Hayden.
